Executive Assistant
About the Company
Our client is at the forefront of free space optical (FSO) communications. Their product portfolio spans cutting-edge technologies, from photonic integrated circuits to advanced optical systems and embedded software solutions. Their systems are integrated into next-generation satellite communications platforms, supporting some of the most innovative space programs globally.
This is an ambitious, technically complex, and high-impact environment. As part of continued growth and expansion, our client is seeking an exceptional Executive Assistant to support their C-Suite leadership team.
The Opportunity
This is not a traditional administrative role. Our client is seeking a highly capable, resilient, and proactive Executive Assistant who thrives in a fast-paced, high-performance environment.
You will act as a strategic partner to the C-Suite, ensuring seamless operations, anticipating challenges, and enabling leadership to focus on driving the business forward.
You will be the organisational anchor for the executive team — maintaining clarity, structure, and momentum across competing priorities.
Key Responsibilities
Manage complex, multi-time-zone Google Calendars, ensuring executives are fully briefed, prepared, and optimally scheduled.
Coordinate international and domestic travel, building efficient itineraries and proactively managing changes.
Act as a trusted gatekeeper and primary point of contact for the C-Suite, managing high volumes of correspondence with discretion and professionalism.
Drive execution of daily priorities and longer-term strategic initiatives through strong project management and follow-through.
Coordinate Board meetings, including scheduling, documentation, minute-taking, and preparation of high-quality presentations and reports.
Collaborate cross-functionally to ensure alignment between leadership and operational teams.
Anticipate and resolve logistical or administrative bottlenecks before they impact executive performance.
Manage expenses, reporting, and numerical data with accuracy and confidence.
About You
Minimum 10+ years’ experience as an Executive Assistant, with significant experience directly supporting C-Suite executives.
Degree-qualified or holding a recognised professional qualification.
Demonstrated experience handling highly sensitive and confidential information with absolute integrity and discretion.
Expert-level proficiency in Google Workspace (Calendar, Drive, Docs, Sheets, Slides). You are a true power user capable of managing complex workflows and shared environments.
Strong organisational discipline with exceptional attention to detail — you have a “finisher” mindset.
High resilience and composure under pressure, with the ability to adapt quickly to shifting priorities.
Strong numerical literacy and confidence managing budgets, reporting, and expense reconciliation.
Solid understanding of corporate governance and organisational structures.
